Documents Required to Buy a Flat in Mumbai: KYC Checklist for Residents, NRIs and Companies

Quick answer: to buy a flat in Mumbai you will usually need your PAN, Aadhaar or another photo ID, address proof, photographs and proof that the money comes from your own bank account. NRIs also need their passport (and OCI card), NRE/NRO account details and often a power of attorney. Companies, HUFs and trusts need their own registration papers and a signed approval. Just as important are the papers you collect from the developer – from the MahaRERA details to the registered agreement.

Last updated: 28 October 2026. A general checklist for homebuyers in Mumbai. Each developer, bank and sub-registrar office can ask for more – always confirm the latest list with them and your lawyer.

A luxury purchase moves through several desks: the developer’s KYC team, your bank, the stamp duty portal and the sub-registrar office. Each one checks names, PANs and addresses. A spelling mismatch or a missing resolution can hold up a booking or a registration for weeks. Use the lists below to get everything ready before you commit.

Stage by Stage: What You Need and When

StageWhat you usually need
Booking / applicationPAN, photo ID, address proof, photos, booking payment from your own account
Home loan (if any)Income proof, bank statements, tax returns, property papers from the developer
Agreement for saleSame KYC for every buyer, stamp duty and registration fee payment, two witnesses
Each instalmentDemand letter, payment proof, TDS challan (Form 141)
PossessionFinal payment proof, possession letter, society membership forms

Documents for Resident Indian Buyers

  • PAN card – active and linked with Aadhaar. An inactive PAN can mean higher TDS and delays.
  • Aadhaar card or another government photo ID such as a passport or driving licence.
  • Address proof – Aadhaar, passport, a recent utility bill or bank statement.
  • Recent passport-size photographs of every buyer.
  • Bank details of the account the money will come from. Developers and banks may ask where the funds come from for a high-value purchase, so keep statements ready.
  • Marriage certificate or name-change papers if your name differs across documents.

If you are buying with family, every co-owner needs the same KYC, and payments should come from the person whose name is on the agreement. Read our guide to joint ownership of a luxury flat.

Documents for NRI and OCI Buyers

  • Passport and, if you have one, your OCI card.
  • PAN card – needed for registration, TDS and tax filing in India.
  • Overseas address proof and an Indian contact address.
  • NRE, NRO or FCNR account details – payments should come through Indian banking channels.
  • Power of attorney (PoA) if a relative in India will sign or register for you. A PoA signed abroad usually has to be attested at the Indian embassy or apostilled, and then stamped in Maharashtra within the time allowed after it arrives. Ask your lawyer for the exact wording and steps.

Buying Through a Company, HUF or Trust

Company or LLP

  • Company PAN, certificate of incorporation, MoA and AoA (or LLP agreement).
  • Board resolution approving the purchase and naming the authorised signatory.
  • KYC of the authorised signatory, and the company’s registered office address proof.

HUF

  • HUF PAN and a declaration listing the karta and members.
  • KYC of the karta, who signs for the HUF.

Trust

  • Trust deed, trust PAN and a resolution of the trustees.
  • KYC of the trustees who will sign.

The tax treatment of owning a home in a company, HUF or trust is very different from owning it yourself. Speak to your chartered accountant before you book.

Documents You Should Get From the Developer

Buyers often focus on the papers they give, and forget the papers they should receive. Before you pay anything beyond a refundable amount, ask for:

  1. MahaRERA registration number and the project page on the MahaRERA website – see our guide to verifying the RERA number.
  2. Cost sheet showing the price, parking, other charges, GST and stamp duty separately.
  3. Approved plans and carpet area as per RERA – our carpet area guide explains how to read them.
  4. Title report and key approvals, such as the commencement certificate.
  5. Allotment letter and the draft agreement for sale – check it with our agreement for sale checklist.
  6. Receipts for every payment and your TDS challans.
  7. At handover: possession letter, occupancy certificate details and society forms – see our possession and snagging checklist.

Marketing papers such as brochures and renders are useful, but they are not legal documents. Our guide to the Godrej Bandra Bay brochure explains how to check them against RERA papers.

Registration Day at the Sub-Registrar Office

  • Original photo ID and PAN of every buyer and of the seller’s authorised signatory.
  • Proof that stamp duty and registration fees have been paid.
  • Two witnesses with their own photo ID.
  • Your photograph and thumbprint are taken at the office.
  • If someone signs for you, the original power of attorney.

Stamp duty and registration costs are explained in our stamp duty, GST and registration guide. TDS has its own process – see our guide to TDS on property purchase and Form 141.

Simple Habits That Prevent Delays

  • Use exactly the same name spelling on PAN, Aadhaar, bank account and the agreement.
  • Pay only from accounts in the buyer’s own name, and only to the account named in the agreement.
  • Keep one digital folder per property with every receipt, challan, letter and agreement.
  • Read every document before signing – do not sign blank or incomplete forms.
